Guide 03 · Enquiries

Never miss another enquiry

You can win at Google, have a fast website and a wall of five-star reviews, and still lose the job in the last ten metres. An enquiry that goes unanswered is marketing money set on fire. This is the playbook for closing that leak.

The leak, in numbers you can check yourself

Open your phone's call log and count last week's missed calls from numbers you did not recognise. Then look at how long enquiries sat in your inbox or Facebook messages before a reply went out. Most owners who do this exercise find a handful of potential jobs a month leaking away, and every one of them cost money to attract in the first place.

The uncomfortable mechanic underneath it is speed. When someone wants a plumber, a physio or an accountant, they usually contact two or three businesses in one sitting. The first useful reply frames the conversation, and often takes the job before anyone else has answered.

The playbook, cheapest fix first

1. Make contacting you effortless

One tap to call on mobile, a short form that asks only for name, number and what they need, and your hours and coverage area answered on the page so people do not need to ask. Every extra form field costs you enquiries.

2. Missed-call text-back

An automatic text to any caller you miss, within seconds. Something as plain as "Sorry we missed you, we're on a job. Reply here or we'll call you back within the hour." The caller stops dialling competitors, because you have already answered. This is usually the highest-value automation per pound in a local business.

3. Same-day follow-up, automated

Every enquiry gets a reply the same day, and every quote gets chased at a set point without anyone remembering to do it. Consistency wins here, and machines are better at consistency than people.

4. Answer the phone when you cannot

If the call log shows real volume going unanswered, especially outside opening hours, an AI receptionist can answer, book and escalate around the clock. It is a bigger step, so we wrote a separate guide on when it is worth it.

5. Measure it monthly

Enquiries in, replies out, jobs won. Three numbers on one page, once a month. What gets measured gets fixed, and you will see within weeks which of these steps paid for itself.

Keep a human in charge

Everything above runs with human oversight. The automation answers fast and keeps the caller warm; the judgement calls, pricing a tricky job, handling a complaint, stay with you. Customers forgive a business for being busy. They do not forgive being ignored, and they should never be misled about whether they are talking to a machine.
