AI receptionists for UK small businesses
Every call that rings out while you are on a job is a coin toss on whether the caller tries again or phones the next name on the list. AI receptionists exist to stop that. Here is what they can do, what they cost, and how to tell whether you need one at all.
What an AI receptionist actually does
An AI receptionist answers your business phone with a natural-sounding voice, around the clock. Depending on the setup, it can:
- Answer the questions most callers ask: prices, opening hours, whether you cover their area
- Take a message and send it to you instantly, with the caller's details already captured
- Book appointments directly into your calendar or booking system
- Recognise an emergency or a complex query and put it through to a human
- Text back any call it could not handle, so the caller is never left in silence
The good ones are honest about being automated, and hand over gracefully when a call needs judgement. The bad ones bluff. When you trial any provider, ring it yourself and ask something off-script; how it fails tells you more than the demo.

1. Missed-call text-back
The cheapest fix. It does not answer the phone; it instantly texts anyone you miss, so the caller knows you exist and are coming back to them. If your call volume is modest and most questions are simple, this plus a decent website solves most of the problem for a fraction of the cost.
2. Off-the-shelf AI receptionist
Subscription tools, typically priced by call volume or minutes. Quick to set up and easy to leave, which is a genuine advantage. The limitation is that they know what you teach them through a form, so answers stay fairly generic unless you invest time in the setup.
3. A custom build
Built around your actual business: your price list, your services, your booking system, your rules about what gets escalated. Costs more up front, does exactly your job, and there is no monthly platform fee inflating over time. What it costs, and the sum that matters
Subscription prices change too often for a printed number to stay honest, so do the sum that does not change. Work out what one lost job is worth to you, then estimate how many calls you miss in a month. For most trades and clinics, recovering one or two lost enquiries a month pays for any of the three options above. If it does not, you probably do not miss enough calls to need one, and that is a fine answer too.
Questions to ask any provider
- What happens when it does not know the answer? (The only acceptable answer involves a human.)
- Can it book into the calendar or booking system I already use?
- Can I read every conversation it has had on my behalf?
- What is the notice period? Monthly rolling is the honest default.
- Does it tell callers it is automated? It should.
